How to Stop Losing Window Cleaning Customers (Retention Guide)

Keeping a customer is worth far more than finding one. Here's why rounds leak — and the five fixes that plug it.

Window cleaning customers rarely leave over price. They leave because they didn't know you were coming, because paying you was awkward, because a clean looked rushed, or because a price went up without warning. Each of those has a cheap fix — and every customer you keep is a customer you don't have to replace.

1. Tell them you're coming

A message the evening before does three jobs: gates get unlocked, cars get moved, and payment is ready. It is the highest-return habit in the trade and takes minutes for a whole day's round.

2. Remove payment friction

  • Offer direct debit or card on file — chasing cash is the most common source of quiet drop-off.
  • Send a receipt automatically so there's a record on both sides.
  • Never let an unpaid clean run into a second one without a friendly reminder.

3. Protect the quality signals

Customers can't judge glass technically — they judge frames, sills, drips on the door and whether the gate was closed. Do a ten-second walk-back on every property. That check is why some cleaners keep customers for a decade.

Warn before you raise

An expected increase with a reason keeps almost everyone. A surprise increase on the invoice loses good customers who would happily have paid it.

4. Handle complaints on the day

  1. Reply the same day, always.
  2. Go back and redo it free if there's any doubt — it's cheaper than a replacement customer.
  3. Ask what specifically looked wrong; it's usually one window and one minute.
  4. Follow up a week later so they know it mattered.

5. Win back the lost ones

Every quarter, message the customers who dropped off: 'We're back on your street next Tuesday — want us to include you?' Reactivations are the cheapest work you'll ever book, and many left for reasons that have since passed.

Measure the leak

Track how many customers you lose each month against how many you add. If the round isn't growing while you're quoting steadily, retention is the problem — not marketing. Keeping quotes, cleans, messages and payments in one place makes the leak visible before it costs you a van's worth of work.
